Microsoft 365 Migration

Important announcements

Friday, Aug 7 · 1:57 PM Schedule change: the Syncx migration moves to the weekend of August 14

Hey everyone,

We have made an important last-minute change to the migration schedule, but only for the Syncx group.

The Syncx migration has been moved to next weekend.

The Syncx team can continue business as usual and do not need to use temporary passwords or take any action this coming Monday the 10th. Even if you receive your temporary password emails again today, you do not need them until Monday the 17th.

We're striving to limit any business disruption, and so we've decided to delay the Syncx migration by exactly one week to allow for some necessary last-minute adjustments to our accounts.

Next Friday we'll pick back up right where we left off. Thanks for staying flexible, and have a great weekend!

Updated schedule

One company, one Microsoft 365 environment.

We're bringing everyone onto a single Microsoft 365 environment and a single IT support team. Your files and email come with you. What changes is how you sign in — and the links that point to shared files.

Migration weekend
Fri, Aug 14 → Mon, Aug 17

The Syncx migration was previously scheduled for August 10 and has moved by exactly one week. Your first new sign-in is Monday, August 17.

The plan

How the weekend runs.

Four things to know, in order.

Now → Aug 14

Get ready

Install the remote support tool, save your temporary credentials somewhere outside email, and note the shared links you'll need to rebuild.

Fri, Aug 14 · 6 PM CT

Stop editing

Close your SharePoint and OneDrive files. Leave your computer powered on and connected, and don't shut it down.

The weekend

Hands off

Don't use your work computer while the migration runs. Email may be interrupted or delayed during this window.

Mon, Aug 17

Sign in fresh

New sign-in, new password, MFA setup again, and reconnecting OneDrive and shortcuts. Give yourself extra time before your first meeting.

Your part

What to do.

Two short lists. The first one matters most — most Monday problems start with something skipped before Friday.

Before Friday, Aug 14

Get ready

  • Install the remote support tool. Use the link in the instructions sent to your work email. If it asks for an administrator password, use the scheduling link in that same email to book time with the IT support team, or call the support line below — they'll finish the install with you.
  • Check that it installed. There's no success message. Look in the system tray at the bottom-right of your screen for a small blue icon with a dark pulse line through it.
  • Save your temporary credentials outside email. Write them down, print them, or keep them on your phone. You'll need them before your email is available again.
  • Save the first sign-in instructions. They arrive with your credentials. Bookmark or print them so Monday isn't a guessing game.
  • List the links you'll need on day one. Note the files you share most and who you share them with, so you can reissue those links quickly.
  • Friday evening: stop editing shared files at 6 PM CT, and leave your computer on and connected.
Monday, Aug 17

  • Sign out of everything Microsoft — Outlook, Teams, SharePoint, OneDrive — on your computer and your phone.
  • Sign in with your work email address and your temporary password.
  • Set your permanent password. You can reuse your current one if it still meets the requirements.
  • Register multi-factor authentication again, even if you already use it.
  • Relink OneDrive. If it asks where to sync, choose Keep existing.
  • Reconnect SharePoint in File Explorer using the new locations provided, and reissue any sharing links people are waiting on.

Expectations

What changes, what doesn't.

The disruption is concentrated in sign-in and in links. Your actual work comes across.

Comes with you

Files and folders

SharePoint and OneDrive content moves to the new environment. File and folder names stay the same.

Needs your attention

Sharing links

Existing sharing links, shortcuts and bookmarks point to the old locations and will stop working. Reissue the ones you rely on.

Comes with you

Email history

Mail moves across. Messages sent during the migration may be delayed, but they queue and deliver once it finishes.

Needs your attention

Sign-in and MFA

One sign-in with temporary credentials, then a new permanent password and fresh multi-factor registration.

Not affected

Files saved on your computer

Anything stored locally, outside OneDrive and SharePoint, is untouched.

Not affected

Browser bookmarks

Bookmarks stay put. Any pointing to old shared-file locations will need replacing.

Questions

Asked and answered.

The questions that came up most in our Q&A sessions.

I haven't received my temporary credentials.

They're sent to your work email ahead of the migration and resent closer to the date. If yours hasn't arrived as the weekend approaches, contact the IT support team — don't wait until Monday. A small number of accounts are being handled individually and will get instructions written for their situation.

What if I edit a file after 6 PM Friday?

The change isn't guaranteed to migrate. If you truly have to work on something, save a copy to your own computer, work there, and merge it back once you're signed in on Monday.

Will I lose email sent during the migration?

No. Mail sent while the migration runs may be delayed, but it queues and delivers once the move is complete.

Can I keep my current password?

Yes, as long as it still meets the password requirements. You'll sign in once with the temporary password, then set your permanent one.

Do I have to set up MFA again if I already use it?

Yes. Everyone registers multi-factor authentication again on the new account. If you've never set it up, you'll be required to do it as part of your first sign-in — step-by-step instructions come with your credentials.

What about Microsoft apps on my phone?

Outlook, Teams and any other Microsoft apps on your phone need to be signed out and signed back in with your new credentials, the same as on your computer.

Will file and folder names change?

Names stay the same. Some site locations shift so each part of the business stays separate, which is why links change even though names don't.

Something looks missing from OneDrive on Monday.

Contact the IT support team. The original copy still exists in the previous environment and can be retrieved.

My File Explorer shortcut to SharePoint stopped working.

Open SharePoint in your browser in the meantime — everything is there. Then follow the reconnection instructions to add the library back to File Explorer, or ask the support team to walk through it with you.

I'm on leave and will miss Monday.

That's fine — complete the setup when you're back. Just know you can't reach email or any other Microsoft service until you do, so keep your credentials and instructions somewhere you can find them.

Support

Stuck? Get help.

The IT support team handles installs, administrator-password prompts, first sign-in problems, missing files and reconnecting shortcuts.

Call the support line

Fastest option on Monday morning, and the right one if you can't sign in at all.

Email the project team

For anything that isn't blocking you. Include your name and what you were doing when it failed.

One security note. No one from Syncx or our IT support team will ever ask you for your password. Migration emails come only from the internal project lead or the official IT project team address — if a message looks close but not quite right, don't click it. Call the support line instead.

Post-migration support

Once you're on the new environment, Vector Choice handles day-to-day IT support — sign-in trouble, missing files, reconnecting shortcuts and anything else.
